Internal Document Assistant
Note: This is a conceptual example of what we can build, designed to help you visualize possibilities, not a delivered client case study.
The Problem
Employees waste valuable time searching for procedures, HR policies, or technical standards scattered across PDFs, disorganized shared drives, and old emails.
The Workflow
A secure chat interface is connected to your company documents. When an employee asks a complex question, the assistant searches through your texts, formulates a clear answer, and cites the exact page and source document.
Needed Data
A centralized, up-to-date repository of your internal documents (PDF, Word files, intranet pages), along with access management rules to respect user permissions.
Human Controls
The assistant explicitly cites its sources so the employee can verify the original information. In case of doubt, the answer clearly advises consulting a human supervisor.
Measurable Results
We measure the current situation before implementation, then compare these metrics during a pilot. Gains are not guaranteed:
- Number of relevant queries handled by the assistant per month
- Estimated reduction in search time per employee
- Decrease in repetitive questions asked to managers or HR
- Internal satisfaction rate regarding access to information
Limitations
AI can sometimes generate incorrect information even with citations. The assistant must abstain from answering if it cannot find the exact source. Any sensitive decision (HR, finance, security) always requires human supervisor review.
